Duodeal user guide

Welcome! This guide explains everything you can do with Duodeal: create deals, build beautiful sales proposals, share them with your clients and track their interest in real time.

Duodeal in one sentence: instead of sending a static PDF quote, you send your client an interactive web page. You then see when they open it, how long they spend on it, and they can comment and sign directly online.

How to read this guide: every feature is presented the same way — what it does, how to use it, and what you need to know (limitations or specific behaviors). You can read the guide from start to finish or jump straight to the section that interests you.


1. Getting to know the interface

The main screen

What it does Every screen in Duodeal is laid out the same way, so you never feel lost:

  • on the left, the sidebar: the main menu;
  • at the top, the header: search, the primary action button and your avatar;
  • in the center, the content of the current screen.

The sidebar (main menu)

What it does This is your starting point for moving between the app's main sections:

  • Deals: the list of all your deals;
  • Contacts: your contacts and their companies;
  • Product Catalog: your catalog of products and services.

The section you're currently in is highlighted.

How to use it

  • Click a menu entry to switch sections.
  • The New Deal button, right below the logo, creates a new deal at any time (see section 2).
  • The icon at the top of the sidebar lets you collapse it down to a simple rail of icons, to free up screen space. Click it again to expand it.

Good to know

  • Your choice (collapsed or expanded sidebar) is remembered: you'll find the same layout the next time you log in.
  • When the sidebar is collapsed, the "New Deal" button becomes a simple "+".
  • The menu entries depend on your permissions: if your role doesn't grant access to a section, it won't appear.

What it does The search field at the top left lets you quickly find an item on the current screen: a deal on the Deals page, a contact on the Contacts page, a product on the Products page.

How to use it Type at least 3 characters: the list filters automatically.

Good to know

  • Search only covers the page you're on — it's not a global search across the whole app.
  • Some screens (like Settings) have no search: the area stays empty.

The primary action button

What it does At the top right, a button always offers the most useful creation action for the current screen: "New Deal" on deals, "Add Contact" on contacts, "Add Company" on companies, "Add Product" on products.

Your profile (avatar)

What it does The round badge at the far right of the header shows your photo (or your initials). Clicking it opens a menu with:

  • Profile: your personal account;
  • Settings: the settings;
  • Logout: sign out.

Good to know Right now, "Profile" and "Settings" both open the same page ("My account", in Settings). From there, you can reach all the other settings through the left-hand menu.


2. Creating a deal

The "Create a Deal" window

What it does This is where everything starts: a deal represents a sales opportunity with a client. It will contain one or more proposals (quotes) that you build afterwards.

How to use it

  1. Click New Deal (in the sidebar, or at the top right of the Deals page).
  2. A window opens with two fields:
    • Create a deal from a template: pick an existing template if you want to start from a deal that's already prepared (optional — leave it empty to start from scratch);
    • Deal Name: the name of your deal (for example, "Website redesign — Dupont Ltd").
  3. Click Continue: the deal is created and the editor opens right away.

Good to know

  • Cancel closes the window without creating anything.
  • A deal created without a template starts with three sections already in place: the header, the contacts and the pricing table. All you have to do is fill it in.
  • The deal name isn't required: if you leave it empty, the deal is still created (without a name). It's best to name it right away so you can find it easily.
  • Only active templates (not moved to trash) appear in the template list.
  • A deal created from a template currently opens in the older version of the editor (see "Points to clarify" at the end of the guide).

3. Managing your deals (the list)

The deals list

What it does The Deals page is your sales dashboard: all your deals are listed there, with their status, amount, client and Hot Deal Score (the client interest indicator, see below).

How to use it

  • Open a deal: click its row. A right-click also offers "Open in a new tab".
  • Search: type at least 3 characters in the search field at the top.
  • Sort: click a column header to sort (a second click reverses the order).

Good to know

  • The list shows 50 deals per page; use the arrows at the bottom to change pages.
  • Columns shown by default: Status, Hot Deal Score, Number, Deal name, Amount (excl. tax), Contact, Company, Creation date, Owner. Other columns (amount incl. tax, cover image, date, custom fields, etc.) can be added through the column manager.

The Hot Deal Score

What it does The Hot Deal Score measures your prospect's interest on a scale of 0 to 100, based on their behavior on the page you sent them (visits, time spent, etc.). It's your compass for prioritizing follow-ups.

How to read it

  • 🔥 50 and above: the deal is "hot" — the prospect is engaged.
  • ❄️ Below 50: the deal is "cold" — the prospect has barely looked at your proposal.
  • No icon: the prospect hasn't opened the page yet.

Filtering the list

What it does Filters let you show only certain deals: by status, by owner, by amount, by date, by company, or based on your custom fields. For example: "all deals over €10,000 created this month".

How to use it

  1. Click Filters in the toolbar.
  2. Add a condition: choose the column, the operator ("is", "contains", "greater than", "is between", etc.) and the value.
  3. Add more conditions with + New Filter if needed.
  4. Click Apply Filters.

Good to know

  • When you combine several conditions, a deal must meet all of them to appear ("and" logic — an "or" combination isn't possible).
  • The available operators adapt to the column type: a date offers "is between", a text field offers "contains", and so on.

Saved views

What it does A view saves a combination of filters, sorting and columns that you use often, so you can bring it back in one click. For example: a "My hot deals" view or a "Signed this quarter" view.

How to use it

  1. Set up the list the way you want (filters, columns, sorting).
  2. Click the View button, then Create a view from this display: your setup is saved under the name you choose.
  3. To come back to it later, click View and pick your view. All deals restores the standard display.

Good to know

  • On the active view, icons let you save it again (after changes), rename it or delete it.
  • A view can be set as the default view: it's the one that appears when you open the page.

Choosing and ordering columns

What it does Show exactly the information that matters to you, in the order you want.

How to use it Click Columns: check or uncheck columns, and drag them by the ⠿ handle to change their order. A search field helps if the list is long.

The Calendar view

What it does See your deals on a calendar rather than a list — handy if your deals have a date (event, service, deadline).

How to use it

  • Click the calendar button at the top right of the list to switch (and the list button to come back).
  • Three displays: Agenda (chronological list), Week, Month.
  • Each deal appears in a color based on its status; click it to open it.

Good to know

  • The calendar view only appears if it has been enabled in Settings (see section 10), where you also choose which date field positions the deals.
  • Filters active on the list also apply to the calendar.

Deal actions: clone, move to trash…

What it does Every row has a menu with the common actions.

How to use it

  • Edit: opens the deal in the editor.
  • Clone: creates a copy of the deal.
  • Move to Trash: sends the deal to the trash (it isn't permanently deleted).

To act on several deals at once, check the boxes to the left of the rows: a "N item(s) selected" bar appears with the bulk action.

The trash

What it does Find the deals you've moved to the trash, restore them or delete them permanently.

How to use it

  1. Click Trash in the toolbar: the list shows the deals in the trash (a banner reminds you).
  2. On each deal: Restore (put it back in the list) or Delete Permanently (permanent deletion, with confirmation).
  3. Click Go back to return to the normal list.

Good to know Permanent deletion is irreversible. As long as a deal is only "in the trash", you can recover it.


4. Building your proposal (the editor)

This is where you spend the most time: the editor lets you compose the page your client will see, section by section. Each section is a block (pricing table, text, video, FAQ, photo gallery, etc.) that you add, move and customize freely.

What it does It gathers all the deal's tools, always visible at the top of the screen:

  • : go back to the deals list;
  • Deal title (with a pencil): rename the deal directly;
  • Edit / Client: switch between edit mode and the preview as your client will see it;
  • Magic wand: the AI assistant (see below);
  • Hot Deal Score: the prospect's engagement score;
  • Share: create the sharing links to send to the client (see section 5);
  • Analytics: the viewing statistics (see section 7);
  • Gear icon: the deal's settings;
  • Save: save manually;
  • Status badge: just to the right of Save, a colored badge shows the quote's status (Draft, Send, Signed, Lost… depending on the statuses configured in your settings). Click it to choose another status — the quote is saved right away.

Good to know To send the proposal to your client, you go through the Share button: it generates a sharing link that you can copy and send through the channel of your choice, or have it sent by email directly from Duodeal (see section 5).

The Client preview

What it does Check what your proposal will look like to the client, without leaving the editor.

How to use it Click Client in the header bar. The page appears read-only, showing only the visible blocks. Click Edit to return to editing.

Good to know This is an internal preview: the signature button is deliberately disabled here. To test the real public rendering, open a sharing link.

Saving (automatic and manual)

What it does Never lose your work.

Good to know

  • Your changes are saved automatically a few seconds after each change.
  • The Save button lets you save immediately if you don't want to wait.
  • You can undo your last changes with Cmd+Z (Mac) or Ctrl+Z (Windows), and redo them with Cmd/Ctrl+Shift+Z.
  • Special case for the HTML block: when you leave its Visual editing mode, your changes are saved automatically (a confirmation message appears) — so you won't lose them.

A deal's proposals (left column)

What it does A single deal can contain several proposals (several versions of the offer): for example an "Essential" package and a "Premium" package. The left column lists them and lets you switch from one to the other.

How to use it

  • + Add a quote (at the bottom of the column): add a new proposal.
  • On each proposal card:
    • the eye: hide/show this proposal to the client;
    • the orange pin: marks the deal's main proposal (the one that counts for the amount shown in the deals list);
    • the menu: set as main, duplicate, delete;
    • the chevron: expand the outline of the proposal's blocks.

Good to know

  • A signed proposal can't be deleted, and neither can a deal's last proposal.
  • When a proposal is signed, its card shows a "Signed on…" banner with the signed PDF to download.
  • In the expanded outline, you can drag blocks to reorder the page, and click a block to jump straight to it. A block that's hidden from the client (crossed-out eye) appears there in gray, which helps you spot at a glance what won't be shown.

Adding a block

What it does Compose your page by adding the sections you need.

How to use it Hover between two blocks: a dotted line with a + appears. Click it to open the block library, then choose the type to insert.

Working with a block

What it does Every block is handled the same way, with the same controls.

How to use it

  • Title: click the pencil to rename the block.
  • Eye: hide the block from the client (it stays in the editor, shown semi-transparent).
  • Columns / Rows: for blocks that support it, choose the number of columns or rows.
  • menu: Settings (block settings, including show/hide its title), Duplicate, Move up / Move down, Delete.

The blocks, one by one

Your proposal is built by stacking blocks. Here's the full list first, then the details of each: what it does, how to set it up and what to know. They all get added, moved and hidden the same way (see "Adding a block" and "Working with a block" above).

The 19 block types:

Legal noticesThe legal quote footer: your company details + terms of sale / legal notices (pre-filled from your Settings).
Accept & SignThe button that lets the client accept and sign online (see section 6). It disappears automatically once the proposal is signed.
Signature stampThe signature stamp, designed to appear once the proposal is signed (see "Points to clarify").
Page breakA page break, invisible on screen, that forces a page change in the PDF.
HTMLA custom content block (free layout), usually prepared by your team or the AI assistant — for example a "Your challenges" section, an offer comparison or a call to action. The links and buttons it contains open in a new tab, without taking the client away from the proposal.

What it does This is the banner at the very top of the proposal: a cover image and a logo.

How to use it

  • Choose a cover image and a logo (from your media library or by upload).
  • If you don't want them, leave the "no cover" / "no logo" option.

Good to know The title and number shown in the header come from the quote itself (the deal name and its number), not from the block: to change them, rename the deal or edit its number. This block has neither columns nor rows.

Contacts (inline editing)

What it does The Contacts block shows the salesperson (Sales, that's you) and the client side by side. You can edit the client's details without leaving the editor.

How to use it

  • Click the name or address on the client card: if the client is a company, the "Edit Company" window opens (name, registration number, VAT number, address, state/region, postal code, city, country); if it's an individual, the contact record opens.
  • Click the contact badge (the badge showing their name) to open "Edit Contact" (first name, last name, email, phone, associated company).
  • Your changes are saved and reflected immediately on the card, without reloading the page.

Good to know For a company client, the card shows the company address (and its state/region if it's filled in). On the client side, the card isn't clickable: editing stays reserved for the editor.

Text (rich text)

What it does A block of free, formatted text (headings, bold, lists, colors, alignment, images, etc.) to present your offer, your method, your team, and so on.

How to use it

  • Write directly in the block: a toolbar appears for formatting.
  • With the block's Columns selector, choose 1 to 3 columns side by side. Each column has its own text.

Pricing (pricing table)

What it does This is the heart of the quote: the list of products and services offered, with quantities, prices, discounts and totals calculated automatically.

How to use it

  • Add line offers three choices:
    • Add product: add a product line (from the catalog or entered manually);
    • Add title: add a title line to structure the table (for example "Phase 1 — Audit");
    • Subtotal: insert an intermediate subtotal.
  • Drag lines to reorder them.
  • Each line has its own menu: edit, duplicate, insert a line, make optional, hide, delete.
Adding a product

How to use it

  1. In Find or add product, type the name: if the product exists in your catalog, select it — its name, description, images, price and tax fill in automatically. Otherwise, enter the information manually.
  2. Complete as needed: quantity, unit, unit price, tax, discount (as a % or an amount), reference, images, description.
  3. The "Make this product optional" checkbox makes the line optional: the client can check it or not, and the total adjusts accordingly.
  4. A summary at the bottom of the form shows the amount excl. tax, discount, VAT and amount incl. tax in real time.

Good to know The price pulled from the catalog depends on the deal's price category (see the deal settings): handy if you have different rates depending on the type of client.

Discounts

What it does Grant a reduction, in two ways that can be combined:

  • per line: a discount (as a % or an amount) on a specific product;
  • on the whole table: click Add Discount in the totals area.

The totals area then shows: total excl. tax, discount, total after discount, VAT, total incl. tax.

Tip: a title line can be used to explain a conditional discount, for example "10% discount in exchange for a client testimonial".

Good to know: as soon as a discount applies — on a line or on the whole table — the totals area shows a "Total excl. tax after discount" line (the discount amount appears in red). Your client always sees the actual net amount owed excl. tax, even when the discount only applies to a single line.

Customizing the table columns

What it does Choose the columns shown to the client: images, description, quantity, unit, unit price, discount, tax, amounts, etc.

How to use it Block menu → Settings: check the columns you want and drag them to order them. This is also where you'll find the "Show the Accept & Sign button under the table" option, now enabled by default on every new pricing table: the signature button appears under the table with no extra setup (uncheck it if you'd rather it didn't).

Good to know

  • 8 columns maximum; the Description column is always present. Beyond that, a "Maximum of 8 columns reached" message prevents you from adding more.
  • Your quote-line custom fields can also be used as columns.
  • If you delete a pricing table that contains lines, Duodeal shows a confirmation ("Delete this pricing table?") and reminds you how many lines will be permanently deleted along with it.

Custom Fields

What it does Display the quote's custom fields defined in your Settings (for example: validity date, billing address, HubSpot identifier, etc.), as a label + value.

How to use it

  • "Add a field" button (or ⋯ menu → Settings) to choose the fields to display and reorder them by drag-and-drop.
  • Columns selector: spread the fields across 1 to 3 columns.

Good to know Values are entered from the editor; on the client side, they're read-only. The available fields depend on your account's configuration.

Attachments

What it does Offer the client files to download (brochure, terms of sale, appendices, etc.), taken from your media library.

How to use it

  • Add files from the media library.
  • Columns selector: 1 to 3 columns.

Good to know On the client side, each file is a download link.

What it does Present a grid of photos. On click, the client opens the image full-size (viewer) and scrolls through the gallery.

How to use it

  • "Add images" button (multi-select from the media library).
  • Choose the number of columns (1 to 6) and rows; the grid starts at 3 × 2.

Good to know The client page shows at most 6 thumbnails; if there are more images, the 6th carries a "+x" badge — but the viewer does contain all the images.

YouTube

What it does Embed one or more YouTube videos directly in the proposal.

How to use it

  • Paste the YouTube link(s).
  • Columns selector: 1 to 3 columns.

Good to know Most link formats are recognized (watch, youtu.be, shorts, embed, live).

PDF File

What it does Embed a PDF document viewable directly in the page.

How to use it Drop or choose a PDF from the media library; a button lets you replace it.

Good to know One PDF per block; it displays in the browser's viewer.

PowerPoint presentation

What it does Embed a PowerPoint presentation (or another Office document).

How to use it Choose the file from the media library.

Good to know The preview goes through the Microsoft Office Online viewer: the file must be publicly accessible (files in the media library are).

Google Slides

What it does Embed a Google Slides presentation from its link.

How to use it Paste the link (share, edit or "published to the web").

Good to know The presentation must be shared or published to be visible via the link.

Canva

What it does Embed a Canva design from its share link.

How to use it Paste the Canva share link.

Good to know The design must be shared with public / link access to display.

FAQ

What it does A list of questions and answers shown as an accordion on the client side (click a question to expand the answer) — ideal for handling common objections.

How to use it Add as many question + answer pairs as you need.

Payment Schedule

What it does Present a schedule (deposit + installments) calculated automatically from the quote total.

How to use it

  • Set the start date, the number of installments, the frequency (weekly, monthly, quarterly, yearly) and the deposit percentage.
  • The lines generate on their own and stay editable; a free-form notes area is available.

Good to know The amount spread out = the sum of the quote lines (incl. tax). Changing a setting recalculates the installments.

What it does The legal quote footer: your company's information + the legal text (terms of sale, privacy policy, etc.).

How to use it The fields (logo, title, description, name, registered office, email, phone, registration, others) and the legal text are pre-filled from your company and your Settings → Legal notices; you can adjust them here.

Good to know The default logo is the company's; a field left empty falls back to the company's value.

Accept & Sign

What it does The signature button: it lets the client accept and sign the proposal online (see section 6).

How to use it Add the block where you want it. This button is also available automatically under the pricing table (a Pricing block option, enabled by default).

Good to know In the editor's Client preview, the button is grayed out (you don't sign from the editor). Once the proposal is signed, the button disappears and gives way to the signature stamp.

What it does Display the signature stamp (date, signer, validation fields) once the proposal is signed.

Good to know Until the quote is signed, the client sees nothing here; in the editor, a dotted placeholder shows where the stamp will appear. Once signed, the stamp appears on both sides.

Page break

What it does Force a page change in the exported PDF. Invisible on screen for the client.

How to use it Insert the block where you want to break the page in the PDF.

Good to know This block has no eye icon: it's already invisible on screen, so there's nothing to hide.

HTML (custom content)

What it does A free block for rich, custom-built content (by your team or the AI assistant): a "Your challenges" section, an offer comparison, a call to action, etc. The links and buttons it contains open in a new tab, without taking the client away from the proposal.

Visual editing

What it does Change the content of an HTML block (text, repeated elements, etc.) without touching the code — handy when the block was prepared by your team or by the AI assistant.

How to use it

  1. At the top of the HTML block, two controls: Show Code (view and edit the code, with the preview below) and Visual editing.
  2. Click Visual editing: hover over an element in the preview to edit its text, clone it or delete it. Changes update the code automatically.
  3. Click Exit visual editing to finish: the quote is saved automatically (confirmation message).

Good to know

  • The preview updates as soon as the code changes — what you see is what the client will see.
  • For structural or style tweaks, use Show Code (or ask the AI assistant).

The deal settings (gear icon)

What it does Set the deal's general options, across three tabs:

  • General: the deal owner, the proposal language (English or French), the price category applied, and the Save as template option (turn this deal into a reusable template);
  • Currency: the currency and its display format (symbol, position, separators, number of decimals);
  • Deal links: the predefined view links (see section 5).

The AI assistant

What it does The assistant (magic wand icon) helps you work on your proposal in natural language: it can actually modify the quote — add or rephrase content, adjust lines, fill in fields.

How to use it Click the wand, describe what you want ("add a FAQ section about delivery times", "rephrase the introduction to make it punchier", etc.), and let the assistant apply the changes.

Good to know While the assistant works, the page updates on its own once it finishes responding. Always review its changes — you stay in control of the final content.


5. Sharing the proposal with your client

What it does This is how your client receives the proposal: you create a sharing link, copy it, and send it through the channel of your choice (email, LinkedIn, WhatsApp, etc.). The client opens the link in their browser, with no account or password.

You can create several links for the same proposal, each showing different things. For example:

  • a full link for your main contact;
  • a link without prices for an intermediary;
  • a lighter link, without certain sections, for a first contact.

How to use it

  1. In the editor, click Share.
  2. Click + New link and give the link a name (for example "Version without prices").
  3. Choose what this link should show:
    • check/uncheck the visible blocks;
    • for the pricing table, the Hide prices option hides all amounts;
    • for custom fields, choose which ones to display.
  4. Click Copy link to copy the address, then Save.
  5. Send the link to your client.

Good to know

  • Each link is specific to one proposal: if your deal contains two offers, each has its own links.
  • You can delete a link at any time.
  • A link only shows the blocks that were checked when it was set up: if you later add a new section to the proposal, remember to reopen the link to check it.
  • To send the link, two options: copy it and send it yourself, or let Duodeal send the email for you (see below).

What it does You no longer have to copy the link and send it from your email client: Duodeal can compose and send the email on your behalf.

How to use it

  1. In the Share window, find the link you want (default link or custom link) and click Send.
  2. The "Send the deal" window opens: choose an email template, enter the recipient(s) (and CC / BCC if needed), adjust the subject and body of the message — pre-filled, with the option to insert variables — then click Send.
  3. Next to Send, the same window offers Preview (preview the page on the client side), Copy link (copy the address) and Mark as Sent (mark the proposal as sent if you delivered it through another channel).

What it does This is a second sharing system, different from the sharing links above: view templates defined once and for all in Settings (which items to show or hide), that you then turn on deal by deal. Where a sharing link is configured à la carte on each proposal, a view link applies the same predefined setup to every deal where you turn it on.

How to use it

  1. Templates are created in Settings → View links (see section 10).
  2. In the editor, open the gear icon → Deal links tab.
  3. Turn on the template you want for this deal, then Copy link.

Good to know These links open the older version of the client page (see "Points to clarify"). For the new block-based experience, use the sharing links (Share).


6. What your client sees (the sales page)

The client-side page

What it does When your client opens the link, they discover your proposal as a polished web page — not a PDF attachment. They don't need any account.

What the client sees:

  • at the top, a discreet bar with your logo, the deal name and a button to comment;
  • on the left, an outline: the deal's different proposals (with their amounts) and the page sections — they can navigate in one click;
  • in the center, your proposal, section by section, exactly as you built it.

Good to know

  • If you sent a filtered sharing link, the client only sees what you chose to show (sections, prices, fields).
  • Amounts display in the deal's currency (the one in your settings), including for a client who opens the link without having a Duodeal account.
  • The page adapts to mobile: the outline becomes a menu accessible via the ☰ button.
  • The client never sees your drafts: only visible proposals and sections appear.

The client's comments

What it does Your client can react directly on the proposal, at the exact spot that catches their attention — like a sticky note placed on the page. No more vague email back-and-forth.

How it works

  1. The client clicks the comment button (speech bubble) at the top of the page.
  2. Their cursor becomes a pin: they click at the spot they want and write their comment.
  3. Each pin is clickable and opens the discussion thread: you can reply there, and so can they.

Online signing

What it does Your client can accept and sign the proposal directly from the page — no printing, no scanning, no third-party tool.

How it works

  1. The client clicks the Accept button (in the page's "Accept & Sign" section, or under the pricing table if you enabled that option).
  2. A window asks for their first name, last name and email (pre-filled if a client is associated with the deal), any requested fields, and to check acceptance of the terms and conditions (required).
  3. A "Slide to accept" slider appears: they confirm by sliding it to the end.
  4. The proposal moves to "signed" status.

After signing:

  • the signature button disappears from the page;
  • a green "Signed on {date}" banner appears in the outline, with the signed PDF to download;
  • on the editor side, the signed proposal is protected (it can no longer be deleted).

The "Signature stamp" block is designed to display a signature stamp on the page once the proposal is signed (see "Points to clarify").

Good to know On the new client page, there's no "Download as PDF" button for the quote before signing; the signed PDF, however, is available after signing (see "Points to clarify").


7. Tracking your prospect's interest (Analytics)

Viewing statistics

What it does Know what your prospect is doing with your proposal: have they opened it? How many times? How long did they spend on it? Which offer did they look at most? This is Duodeal's great strength compared to a PDF: you follow up at the right moment, with the right information.

How to use it In the editor, click Analytics. Two tabs:

  • Overview:
    • the Total deal score (the deal's Hot Deal Score) in a banner;
    • the key metrics: number of visitors, number of views, average visit duration, total time spent;
    • a chart of the last 30 days;
    • views per proposal (to see which offer holds attention);
    • the desktop / mobile breakdown.
  • Sessions: the details of each visit (date, device, duration).

Good to know

  • Visits are measured automatically and anonymously as soon as the client opens the page; reading time is only counted when the page is actually shown on screen.
  • Your own views (and your colleagues') aren't counted: the figures truly reflect your prospect.
  • This data feeds the Hot Deal Score shown in the deals list and in the editor.

8. Contacts and companies

The two tabs: Contacts and Company

What it does The Contacts section holds your address book: the people (Contacts tab) and their companies (Company tab). These are what you attach to your deals.

How to use it

  1. Click Add Contact (or an existing row to edit it).
  2. Fill in: first name, last name, email (required), phone, and the company — search for it in the list or create it on the fly with + New Company.
  3. Your contact custom fields also appear in this form.
  4. Save to save.

Good to know

  • The address field only appears if the contact isn't attached to any company (otherwise, the company's address takes precedence).
  • The list shows by default: first name, last name, company, address, email, creation date.

How to use it

  1. In the Company tab, click Add Company (or an existing row).
  2. Fill in: name (required), registration number, VAT number, and the full address (street, postal code, city, region, country).
  3. Save to save.

How to use it Just like deals: menu on each row (Edit, Move to Trash), multiple selection for bulk actions, and the Trash button to review the trash (restore or delete permanently).

Good to know A contact or company attached to a deal can't be permanently deleted (the button is disabled, with an explanatory tooltip). This is a safeguard: your deals always keep their client.

Adding a client directly from a deal

What it does No need to go through the Contacts section to get started: it all happens from the editor.

How to use it In the Contacts section of your proposal, if no client is associated yet: search for an existing contact in "Search and select a customer…", or click + Add a Customer to create the record on the fly. The contact is immediately associated with the deal.

9. The product catalog

The product list

What it does The catalog centralizes your products and services: name, description, images, price, taxes, etc. Once a product is created, you add it to any quote in two clicks, without re-entering anything.

How to use it It works the same way as the other lists: search, views, filters, columns, trash, per-row actions (Edit, Move to Trash) and multiple selection.

Good to know The list shows a price column per existing price category: you see at a glance each product's rate for each type of client.

Creating or editing a product

How to use it Click Add Product: a panel opens with several sections.

  1. Details: image(s), name (required), reference (SKU), formatted description.
  2. Unit / Tips:
    • Unit: the sales unit (day, piece, hour, etc.);
    • Tips: a helper note for the sales team — it appears when the product is used in a quote (for example: "always sell with the associated training").
  3. Custom fields: your product fields, if any.
  4. Pricing Information: the product's price(s) — one price per price category (for example "Standard" and "Key accounts"), with the associated tax. Add Price adds a rate for another category.
  5. Associated Sub-products: the linked sub-products (see below).

Good to know If you close the panel with unsaved changes, you'll be asked to confirm.

Sub-products (bundles)

What it does Automatically link products together. Example: the "Coffee machine" product has "Installation" and "Maintenance contract" as sub-products — when you add the machine to a quote, the other two lines are added automatically.

How to use it In the product record, the Associated Sub-products section: click Add Sub-product, search for the product to link (3 characters minimum), and order the list by drag-and-drop.

Good to know When you add a product to a pricing table (see section 4), the "Find or add product" field searches in this catalog. The price pulled is the one for the deal's price category. Changes made afterwards in the quote line (negotiated price, adapted description, etc.) don't change the catalog record.


10. Settings

Settings (accessible via your avatar) configure Duodeal for your whole team. Depending on your role, some pages may not be visible to you.

My account

What it does Manage your personal information: photo, first name, last name, job title, phone, and the app language (English, French or Italian). This is also where you change your password.

What it does Define your company's identity, reused on your quotes:

  • the logo;
  • the default header image for quotes;
  • the legal information (country, name, registration number);
  • the currency and its display format (symbol, position, separators, decimals).

What it does Manage your team members: invite a new user (email, first name, last name, role), edit their information, activate or deactivate their account.

Permissions (roles)

What it does Define what each role is allowed to do, via a table: permissions in rows, roles in columns, a checkbox at each intersection. You can create your own roles; the three base roles are locked and can't be deleted.

What it does Three settings that apply to all deals:

  • Emails: enable confirmation emails on signing (to the salesperson and/or the client), choose their template, and attach the signed PDF or not;
  • Numbering: the format of deal and quote numbers (with the year, month, a counter, etc.), with a preview;
  • Calendar view: enable the calendar view of the deals list and choose which date fields position the deals.

Custom fields

What it does Add your own fields to Duodeal's records, to tailor the tool to your business. A field can be attached to deals, quote lines, contacts, companies or products.

How to use it

  1. Choose the tab matching the entity (deal, quote line, contact, company, product).
  2. Click Add a field: choose the type (text, number, date, dropdown, image, rich text, formula, etc.), the name and its translations (EN/FR/IT), and whether the field is required.
  3. Order the fields by drag-and-drop.

Good to know Custom fields show up everywhere: as columns and filters in lists, in forms, in the "Custom Fields" block of proposals, and as possible columns in the pricing table.

Price categories

What it does Create several price lists (for example "Standard", "Reseller", "Key accounts"). Each catalog product can have a price per category, and each deal applies one category.

What it does Define your tax rates (name + percentage) and choose the one applied by default. The default tax can't be deleted.

Integrations (Connectivity)

What it does Connect Duodeal to your other tools:

  • the access key that lets an external tool communicate with Duodeal (with a link to the documentation, and a button to regenerate the key);
  • the webhooks: automatic notifications sent to another tool when something happens in Duodeal (deal created, quote signed, contact added, etc.). This page is mainly aimed at whoever manages your tools.

Good to know Regenerating the access key invalidates the old one: connected tools will need to be updated with the new key.

Email configuration

What it does Choose how your emails to clients are sent, among four options: through Duodeal, through your usual email app, through your Gmail account or through your Outlook account (one-click connection for the last two).

What it does Create the public view templates mentioned in section 5 ("Deal links"): for each template, you choose the items to show or hide (total, terms and conditions, cover image, client information, attachments, subtotals, custom fields, etc.). A template can be set as the default.

What it does Prepare standard emails for sending proposals, with variables replaced automatically on sending: client name, deal link, salesperson name, company name, etc. A template can be set as the default template.

What it does Save your reusable legal texts (terms and conditions of sale, legal notices). They feed the "Legal notices" block of your proposals: write them once, find them in all your quotes.
